Non-Tenure Track Hiring Procedures
Purpose:
To provide the College with procedures and guidelines for non tenure track faculty hiring that is in accordance with University and College policies.

I. Initial Appointment
Step 1:

The Request to Recruit 1 form is not necessary.

Step 2:
To hire a non tenure track faculty member, complete the Non-Tenure Track Hiring Approval form and the Non Tenure Faculty Employment Acceptance form and submit them to the Dean’s Office for submittal to the Office of the Provost.
Step 3:

These forms should be accompanied by:

  • The dean's offer letter, signed by the dean (this will come from the Dean’s Office),
  • The candidate's acceptance letter, which could be a copy of the Dean's offer letter signed by the candidate to indicate acceptance of the offer,
  • A copy of the candidate's CV2
  • A copy of the candidate's transcript showing completion of the terminal degree3 (translation services available at Span Tran).
II: Reappointment
Step 1:

The Request to Recruit form is not necessary.

Step 2:

To hire a non tenure track faculty member, complete the Non-Tenure Track Hiring Approval form including number of years already completed in the position and submit it to the Office of the Provost.

Step 3:

The Non-Tenure Track Hiring Approval form should be accompanied by:

  • The dean's offer letter, signed by the dean
  • The candidate's acceptance letter, which could be a copy of the dean's offer letter signed by the candidate to indicate acceptance of the offer.
Step 4:
In the case of the appointment of a Visiting or Adjunct faculty member, or a Lecturer, provide information about the number of courses that the faculty member will be expected to teach during each semester of the appointment. If the teaching assignment is not four courses, on a separate sheet, explain why the teaching assignment is equivalent to a full load for the FTE given.
III: Appointment of Adjunct Faculty (Non-Ben; No Salary)
Step 1:

Send memo to the dean requesting to make an appointment for a specified period of time and provide a rationale. Also with memo, send the candidate's CV.

Step 2:

Dean will prepare an offer letter.

Step 3:

Send offer letter to prospective appointee along with a request to complete the necessary sign-up documents. The documents can be located at Registration Orientation and Review (ROAR).

Step 4:
When signed offer letter and forms are returned, complete a PAR (a Position Number is required)

  1. It is important to note that a faculty member may not be appointed to a tenure track position without a national search. Therefore, if a decision is made to appoint a faculty member holding a non-tenure track position to a tenure track position, a search must be done. In the event that a search was done at the time the non-tenure track faculty member was originally hired, another search is not necessary.
